💿Access Ballot Contract Details

Role: Client HR

  1. Email Notification After the admin publishes the ballot contract, the Client HR receives an email notification regarding the contract and its readiness for ballot creation.

  2. Login to B2B Portal Client HR logs in the B2B Portal

  1. Access B2B Portal Client HR locates and clicks on the "Ballot Contracts" widget in the B2B dashboard.

  • A list of ballot contracts is available on the ballot contracts page for further action by Client HR.

  1. Credit Contract Status There are three types of contract status

    1. 'Not Started' and 'In Progress' status

      1. These contracts are valid for ballot creation.

      2. They are within the validity period.

      3. Not Started - The contract has not yet started (the start date is a future date).

      4. In Progress - The contract has begun (the start date can be a past date or today's date)

      5. The status remains 'In Progress' regardless of whether all the ballots under that contract are completed, as long as the contract period is not yet ended.

      6. The user can access the contract by clicking the 'View Details' button.

      7. 'Create New Ballot' button is available on the Contract Details page

    2. 'Completed' status

      1. These contracts have ended or expired

      2. The user can access the contract by clicking the 'View Details' button.

      3. No 'Create New Ballot' button on the Contract Details page

      4. The user can access and view details of each ballot under the 'completed' contract - click the 'view/edit details' icon

  1. Ballot Contract Detail

    Click the' View Details' button to access the contract details page. Client HR can view and verify the following details:

    • Contract SKU

    • Validity Period

    • Account Manager -> This is the Account Manager's name

    • Max win per employee -> This indicates the maximum number of times an employee can win per ballot contract, regardless of the number of bids they participate in. Example: Organisation XYZ has two Ballot Contracts, 'A' and 'B'. The number of wins permitted for 'A' is two, while for 'B', it is three. As a result, an employee can win bids twice for Contract 'A' and three times for Contract 'B'.

    • Status: [Not Started/In-Progress/Completed]

    • A list of ballots was created for that contract.

    • If multiple ballots exist under one contract (a mix of ballots with statuses: not started, in progress, and completed), the contract status is 'In Progress.' (ie. still within the contract validity period)

    • Each ballot on the contract details page (Ballot Listings) displays the following information:

      • Ballot Name

      • Description -> Ballot description

      • Ballot Period

      • Draw Date -> Ballot draw date

      • Number of winners -> This is the number of winners per Ballot

      • Selected Package or Selected Promo code

Package & Promocode

  1. View Ballot Details If there is an existing ballot (completed or in progress), click on the 'View/Edit details' icon associated with an individual ballot to access the 'View Ballot Details' page. Client HR can view and verify the following information:

    • Ballot Name

    • Validity Period

    • Type > refers to the Reward Service type (Package or Promo code)

    • Submissions > This is the total number of bid submissions

    • Status: [Not Started/In-Progress/Completed]

    • Reward Service type details

    • Winners -> Name, Email, EmployeeId, WinStatus, ClaimStatus, Notes, Action (Approve/Change)

    • Ballot Participants Listing -> Name, Email, EmployeeId, Submittedon

    Note: 'Not started' ballot - when clicking on the 'view/edit details' icon, the user will be brought to the 'Edit Balloting Event details' page. This page is the same as when a user creates a new ballot. Refer to the 'Create ballot' page for more details.
