🟡Winner Selections & No Eligible Winner

In each ballot contract, the user (admin) updates the value of 'Number of wins allowed per employee'.

  • Example: If the maximum win value is 2, it means that an employee participating in multiple ballots under a contract can win up to 2 times within that contract.

    • If an organization has two ballot contracts (A & B), where Contract A allows a maximum of 2 wins per employee and Contract B allows a maximum of 1 win per employee, an employee (E1) can win up to 2 times under Contract A and once under Contract B.

  • 'Number of wins allowed per employee' is a mandatory field; however, the user is allowed to key value = zero (0)

A winner is selected only if they meet the eligibility criteria:

  • If a contract specifies a 'Number of wins allowed per employee', and an employee has already reached the maximum limit, they cannot be selected as a winner in any other ballots under that contract.

  • If all participants in a ballot have already reached their maximum win limit, no winners will be selected for that ballot.

  • If a winner (E2) has previously reached the maximum win limit, and then the Client HR decides to change the winner (e.g., replacing E2 with E3), E2 is no longer restricted by the max win limit. As a result, E2 regains eligibility and can be re-selected as a winner in the next ballot in which they participate under the same contract. (Either auto-approve win contract or Change winner scenario)

  • If the participant(s) are marked as offboarded in the system, they will also be excluded from winner selection.

Example:

  1. The contract includes nine ballots and specifies a 'Number of wins allowed per employee' as 3 in the ballot contract edit.

Note:

  • Number of winners stated in the Ballot' column indicates how many winners Client HR filled in during the ballot creation process.

  • 'Excluded Bidders' column indicates how many participants (bidders) were excluded from the winning selection due to not being eligible to win after reaching the maximum win limit specified in the ballot contract - This information can be found in Avalon reports (Ballot Results By Contract (1552) or Ballot Results (1551)). Refer here for more details.

Short explanation based on the example above:

a) Ballot #3 - In the ballot, client HR specified that three winners should be selected, and the system chose three winners; none of the participants were excluded from the winning selection.

b) Ballot #4 - In the ballot, client HR specified to select three winners, and the system chose three winners; however, one of the participants was already excluded from the winning selection because that participant had reached the maximum win limit (participant = Jamie4).

  • If the Client HR attempts to change a winner, a message will appear stating, 'Could not find a new eligible winner.'

c) Ballot #7 - In the ballot, client HR specified selecting three winners. However, the system chose only one winner because two participants had already been excluded from the winning selection because they had reached the maximum win limit (participants = Jamie3 & Jamie4).

  • The message '2 participants are not eligible to win and have been excluded from the list of winners' is displayed.

  • If the Client HR attempts to change a winner, the same message (as per Ballot # 4) will appear stating, 'Could not find a new eligible winner.'

d) Ballot #9 - In the ballot, client HR specifies selecting three winners, but the system did not choose any winners because none of the participants were eligible. All three participants were already excluded from the winning selection since they had reached the maximum win limit (participants = Jamie3, Jamie4 & Jamie6).

  • The message 'No participants are eligible to win this ballot.' is displayed.
